MoPA operates a growing network of world-class Children’s Museums. The teams that work inside the Museum’s, and the HQ team that support them, are all truly wonderful individuals. We’re blessed to be surrounded by so many great people, but it hasn’t happened by accident.

Guest Services & Administration Manager

Role description

Operating a growing network of world-class Children’s Museums takes a powerhouse team and impeccable systems—delivered with an obsession for Creating the Most Magical Experiences. 

As our Guest Services & Administration Manager, you’ll not only handle high-volume operational and guest service tasks, but you’ll also lead, train, and grow a high-performing team of casual admin assistants. It’ll be your responsibility to maintain and improve systems that keep everything running like clockwork and ensure your team delivers excellence, every single day.

You’ll be at the helm of ticketing administration, party and excursion planning, and high-volume guest communications, all while building a team that can handle peaks in demand with calm efficiency. This is a leadership role, and we’re looking for someone who thrives on structure, loves people, and gets a thrill out of making complex operations seamless.

This is a full time role, Monday to Friday. You will be expected to work from MoPA HQ in South Melbourne for a minimum of two days per week. 

Your Key Responsibilities:

1. Team Leadership & Development

  • Hire, train, and lead a team of casual administration assistants, ensuring they are well-equipped and confident in their roles.
  • Monitor team performance and provide ongoing coaching to maintain a high standard of service.
  • Establish processes and workflows to ensure all guest interactions and administrative tasks are handled with efficiency and care.
  • Take ownership of the team’s output and work towards improving response times, guest satisfaction, and operational accuracy.

2. Guest Services & Ticketing Administration

  • Oversee and manage booking changes, guest inquiries, and ticketing operations.
  • Respond to and resolve complaints, feedback, and membership queries with warmth and professionalism.
  • Manage incident reports, lost property logs, and maintain accurate calendar and scheduling systems.
  • Oversee guest services support for the museum teams during peak periods, ensuring everything runs smoothly behind the scenes.

3. Party & Excursion Planning

  • Own the entire party booking process—from inquiries to confirmations, invoicing, and real-time support over weekends.
  • Oversee excursion bookings, liaising with schools and groups to ensure seamless planning and execution.
  • Maintain party and excursion funnels, tracking data and proactively following up with potential bookings.
  • Manage special fundraising and bespoke events, ensuring every detail is handled with precision.

4. Sales & Communication

  • Drive sales by managing the inquiry funnels for parties, excursions, corporate bookings, and fundraising initiatives.
  • Follow up on tentative holds and leads, ensuring conversion into confirmed bookings.
  • Oversee gift card processing.

 

Who We’re Looking For:

  • An experienced leader—you’ve led teams before and know how to motivate, train, and build a high-performing culture.
  • A multi-tasking pro—you can juggle a high volume of tasks without dropping the ball, maintaining an eye for detail even under pressure.

Your Availability & Commitment:

  • You must be available to work full time hours, generally Monday to Friday, though you will be responsible for managing a roster with your team that ensures our phones are covered from 8:30am until 5:30pm, 7 days a week. In this role you will also have the flexibility to occasionally swap a weekday for a weekend if it suits you. 
  • You’ll work from the office in South Melbourne two days per week at a minimum, and though you’re very welcome to attend more frequently, you may find that you prefer to do your more phone-heavy days from the peace and quiet of home.

Role description:

We seek authentic, kind, and passionate individuals to fill the position of Assistant Museum Manager for our upcoming museum in Nunawading. As an Assistant Manager, you’ll play a crucial hands-on role in supporting the Museum Manager to efficiently manage the day-to-day operations of the museum (museum exhibits, cafe, kitchen, birthday parties, excursions, and retail). In addition, the role requires that you manage and direct a team of part-time and casual team members to deliver outstanding guest experiences and to maintain the highest quality standards of museum operation.

About You:

To succeed in this role, you should have experience in either hospitality or early learning settings, possess strong leadership, communication, and interpersonal skills and love working with children, parents, and team members.

You must also be disciplined in executing operational processes and systems and thrive on being on the museum floor participating in the daily activities, engaging with guests, and directing your guest experience, cafe, and kitchen teams—all in the quest to achieve outstanding guest experiences.

We seek individuals from diverse backgrounds who are eager to learn, develop, and excel in this unique but rewarding leadership role. There is no desk in sight for this role – with very little admin but LOTS of busy sessions to manage, the Assistant Manager role is hands-on and extremely fast-paced!

  • Be born to deliver a magical guest experience, with years of practice in a similar family environment, perhaps even an early learning environment, meeting the diverse needs of a very large, very busy, family environment
  • Be available to work most weekends (because weekends represent the greatest opportunity for you to ensure the largest number of visitors have the best experience)

What this role isn’t about:

  • Sitting at a desk! You’ll be on your feet all day every day, and very little time is spent in any small rooms (other than cleaning up the odd spill from a sensory room of course!)
  • Designing activities! All of MoPA’s exhibits and activities are planned and executed by our creative teams; this Assistant Museum Management role does not contribute to the design or planning of these activities

Role description:

Our delightful crew of Cafe Team Members are responsible for ensuring that our cafe is the cleanest, yummiest haven for nutrients that our guests could ever ask for. Each day they’re the first team members in – prepping the for the day ahead. They then busily tend to guests orders for our delicious food and coffee menu, maintaining an impeccable environment within the serving area but also in the cafe eating areas, and scrub the place impeccably clean at the end of the day to ensure tomorrows team get a head start into another busy day.

You will be comfortable engaging with children and parents alike, you will demonstrate a genuinely kind and caring nature by helping anyone and everyone with whatever their needs may be, and you will be a ‘service machine’, endlessly re-strocking, tidying, wiping, vacuuming, emptying bins and doing all it takes to maintain the exceptionally high standard of cleanliness and hygiene that MoPA are famous for.

As the Autumn breezes blow in, and the bugs fill the garden, we’re reminded that nature truly is one of the greatest sources of creative inspiration. MoPA’s educators have been digging in the dirt (not even joking)... and, inspired by all the furry, wriggly, winged things they found, they’ve designed some gorgeous new activities that celebrate nature.

“THE ART OF NATURE” runs from March 3 to May 31. All the activities and art supplies are included with your ticket.

Q: Is it a real car?
A: Yes, and each has a special place in our ♥️ 

Q: Do you ever clean it?
A: Yes, but the timing is a hot debate. 🧽 There is so much beauty in the layers, but also purity and timeless charm in its bare form. 

Q: How do you choose the colours?
A: Have you ever stirred up a slurpy? 🥤 If we’re not careful, it ends up brown; our team have become experts in avoiding that! 😆 

Q: Why? Just why?
A: All our exhibits are thoughtfully crafted to support early learning and creativity. Our world is full of boundaries and conformity (in most cases, for good reason!). The MoPA Art Car exhibit 🚗 is designed to give children an opportunity to do something that doesn’t “feel” within the confines impressed upon us; to help them see, experience first-hand, and learn, that creativity can so often be found in media and forms we never imagined would combine.
